Booking Conditions 

The following booking conditions form the basis of your contract with OnVenture Ltd (“we”, “us” and “our”). Please read them carefully as they set out our respective rights and obligations. By asking us to confirm your booking, we are entitled to assume that you have had the opportunity to read and have read these booking conditions and agree to them. 

These booking conditions only apply to the trip arrangements which you book with us in the UK and which we agree to make, provide or perform (as applicable) as part of our contract with you. All references in these booking conditions to “trip”, “tour”, “booking”, “contract” or “arrangements” mean such trip arrangements unless otherwise stated. References to “departure” mean the start date of these arrangements. 

All references to “group lead”, “passenger”, “client”, “group”, “customer” and “participant”, or any plural variables of the aforementioned, refer to the paying customers of OnVenture Ltd.  

1) Booking 

To make your booking, the group lead must complete the provided booking form and provide full names, dates of birth & contact details, incl email addresses, for each member of the group. The booking is subject to these booking conditions.  

To make a booking you & each member of your group must be over 18 years of age. By completing our booking form we will treat this as an offer by you, as a representative of your group, to purchase the holiday package in accordance with these terms and conditions. A contract will only be in place between us and all persons named on the booking form. 

How to book 

1: Decide which one of our great tours tickets your fancy. Someone in your group appoint themselves as Group Lead.  2: Submit the booking enquiry form on our website.  3: We will contact you to provide a booking form for your group. 
4: Complete your booking form and return it to us.  5: We will provide an invoice for the 30% deposit payable to secure your group booking.  6: BOSH – Your deposit is paid & your group are booked and ready for an OnVenture. 

7: We will contact each of the group with a full itinerary for your tour booking and any other relevant information. 

8: The balance of the tour booking will be due no later than 8 weeks prior to your tour departure. We will send the group lead a reminder in good time. 

9: Pack your bags, get your bike ready and get yourself prep’d for an OnVenture. 

 

Throughout the booking process we will regularly liaise with your group lead to make sure that your booking is progressing smoothly towards departure of your tour. Due to the nature of our tours, it is essential that you obtain personal travel insurance before booking any trip, bearing in mind ever changing world we live in and the inherent risks associated with road cycling & physical endurance.  You should consider the inclusion of specific Covid-19 cover so that if you fall ill and test positive for Covid-19 prior to (or during) your tour, you will be financially covered for cancelling your trip.  

If you or any of your group fall ill and test positive for Covid-19 prior to (or during) your tour, you agree not to attend or proceed with your tour for the safety of your group and representatives of OnVenture and will provide as much notice to us as is possible. We will not be liable for any financial loss, as a result of you not being able to attend or proceed with your tour, the remainder of your group can attend as planned (if they are not also ill or testing positive for Covid) and you will pursue any financial loss via your insurer. 

2) Deposit 

Your 30% deposit is a non-refundable booking fee covering the administrative, planning and other associated costs that we will incur in the course of preparing and confirming your tour booking. 

3) Our prices 

Sometimes mistakes happen so we reserve the right to correct prices or details of tours that contain errors. In addition, circumstances beyond our control can render pre-agreed elements of your package undeliverable, however, we will source comparable alternatives prior to departure and notify you of the changes with as much notice as is possible. 

We must reserve the right to make changes to and correct errors in quoted prices at any time before your trip is confirmed, we are human after all and mistakes happen. We will advise you of any error of which we are aware and the correct price as at time of booking.  

Once the price of your chosen trip has been confirmed at the time of booking, then subject to the correction of errors prior to your deposit having been paid, we will only increase or decrease the price in the event of any change to our fundamental costs or in dues, taxes or fees or in the exchange rates which have been used to calculate the cost of your trip.

4) Amendments and Cancellation 

a. Amendments and/or Cancellation by us 

As mentioned above, from time to time, suppliers & other businesses we work with may fail or be unable to deliver the agreed products or services. Therefore, we may need to source alternate providers in order to deliver your agreed tour.  

We will always endeavour to source equal alternatives in order to deliver the same high-quality, memorable tour you would expect. However, should this not be possible, we will work with your group lead as soon as is practicable to do so to consider alternative arrangements, dates or if no suitable agreement can be reached, we will cancel the tour & provide a refund in full (no additional compensation will be due).  

If the balance of your tour is not paid in full, as required no later than 8 weeks prior to departure, then your tour will be cancelled and your deposit will not be refunded.  

b. Amendments and/or Cancellation by you or your group 

i. Amendments – Any amendments required or transfer of passenger names are subject to an administrative charge of £50 in order to cover the costs associated with amending tour arrangements & reissuing documentation (both paper & electronic). 

ii. Individual Cancellations – Should for any reason you need cancel your place on our tour, if you cancel after paying the balance of the tour but no later than: 

1: 7 weeks prior to departure, you will be due a full refund minus your deposit payment.  

2: 4 weeks prior to departure, you will be due a refund of 50% of the total cost of your place on our tour.  

3: Less than 4 weeks prior to departure, no refund will be due.  

iii. Group Cancellations – Should for any reason you need cancel your entire group tour, the same terms as outlined above for individual cancellations apply. If your group cancel after paying the balance of the tour but no later than: 

1: 7 weeks prior to departure, you will be due a full refund minus your deposit payment.  

2: 4 weeks prior to departure, you will be due a refund of 50% of the total cost of your place on our tour.  

3: Less than 4 weeks prior to departure, no refund will be due. 

5) Advice & Risks 

We are happy to provide advice on kit, bikes, other equipment, travel arrangements pre and post tour & such like, however, it remains the responsibility of the customer to make & manage such arrangements.  

During your tour we will provide instructions & guidance and this must be followed at all times for both a great experience and to ensure we conduct ourselves in a safe & lawful manner. Your guides instructions are crucial and must be followed at all times.  

There are inherent risks associated with the tours we provide and these can be both direct, the manner in which you conduct yourself & your health and indirect, being subject to adverse weather, road conditions, other road users & such like, that are by nature outside of our control. Therefore, there is a possibility that you could be injured or your property damaged in the course of participating in our tours, and you should be conscious of this prior to taking part in a tour. We cannot accept any liability for injury or damage to property whilst taking part in one of our tours.  

Any tour participant not following the guides instructions or conducting themselves in an irresponsible or dangerous manner, may be requested to leave the trip immediately at no cost or liability of OnVenture Ltd, as the safety of our group and representatives of Onventure, is paramount at all times. 

6) Complaints 

If you have a complaint, please discuss it as soon as is practicable with your guide on the tour & endeavour to find a resolution as soon as is possible.  

If the above is not possible then please complain in writing to Onventure Ltd, 3 Wherry Lane, Ipswich, IP4 1LG and we will reply to your complaint within 14 days. All complaints should lodged no later than 28 days after your tour.
